When we take over bookkeeping for a new client, the same handful of issues show up again and again. None of them are complicated to fix — they just tend to compound quietly until year-end or a VAT filing forces the issue.

1. Mixing personal and business expenses

Common in owner-run businesses, especially early on. It makes monthly reconciliation slower and can complicate VAT input claims, since personal spending isn't recoverable. A dedicated business account, used consistently, solves most of this on its own.

2. Recording revenue only when cash arrives

Cash-basis thinking feels intuitive, but it distorts the picture if you invoice clients and get paid weeks later. Proper accrual-based bookkeeping shows what you've actually earned and what's still outstanding — which matters the moment you need real numbers for a loan application or an investor conversation.

3. Letting reconciliations pile up

Monthly bank reconciliation is where most small errors get caught — a duplicate payment, a missed invoice, a bank fee no one noticed. Skip it for a few months and finding the source of a discrepancy turns into an afternoon of archaeology instead of a ten-minute check.

4. No system for VAT-compliant invoices

Invoices missing required fields — VAT registration number, correct tax treatment, sequential numbering — create problems at filing time and during any NBR review. This is easy to standardize once, and easy to overlook if it isn't.

5. Treating bookkeeping as a year-end task

The most expensive mistake on this list. Books assembled once a year, under deadline pressure, tend to have errors that a monthly close would have caught early — and they leave you with no real financial visibility for eleven months of the year.

Good bookkeeping isn't about producing a report once a year. It's about knowing where you stand every month.
